Privacy Policy for MITS Faculty/Student ERP

MITS Faculty/Student ERP ("the Application") is an institutional mobile ERP application developed by AviScio / Madanapalle Institute of Technology & Science ("we", "our", or "us") to assist faculty members with academic administration, profile management, performance appraisal (PBAS), student mentoring, research records, and official institutional communications.

1. Information We Collect

A. Personal & Institutional Information

• Account Credentials: Official email address, user ID, and encrypted authentication tokens.
• Faculty Profile Data: Full name, employee ID, department, designation, date of joining, contact phone number, qualification, and profile photograph.
• Academic & Administrative Records: Teaching workload, timetable schedules, assigned courses, student attendance entries, mentoring logs, and administrative roles.
• Research & Appraisal Data: PBAS submissions, publications, funded projects, patents, conference presentations, and faculty development programs.

B. Device and Technical Information

• Push Notification Identifiers: Firebase Cloud Messaging (FCM) registration tokens used solely to dispatch real-time academic notices and administrative alerts.
• Device Metrics: Operating system version, app version code, and network connection status for compatibility and security verification.

2. Permissions Required & Justification

• android.permission.INTERNET: Required to communicate with our secure backend servers to sync faculty records, timetables, and academic updates.
• android.permission.ACCESS_NETWORK_STATE: Required to check network connectivity before dispatching API requests.
• android.permission.POST_NOTIFICATIONS: Required on Android 13+ to deliver critical circulars, timetable reminders, and administrative notifications.
• Camera / Photo Storage Access: Requested only when you optionally choose to upload a profile image or attach supporting documents/certificates.

3. How We Use Your Information

• Authenticating faculty access to institutional records.
• Managing academic records, PBAS appraisals, research contributions, and student mentor allocations.
• Sending critical academic notices and timetable schedules via push notifications.
• Ensuring application integrity and enforcing two-layer API security checks.

4. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. Data is strictly processed for institutional operations with authorized academic deans, departments, and infrastructure providers (Firebase / cloud hosting) under strict data protection protocols.

5. Data Security

All network communications are encrypted via HTTPS/TLS 1.2+. Sensitive tokens are secured using Android Keystore encrypted storage (Flutter Secure Storage).
